- Oversee and review daily journal entries, general ledger, accounts receivable (AR), and accounts payable (AP). Ensure month-end and year-end closing are completed within stipulated deadlines and comply with MFRS/MPERS.
- Monitor daily cash flow and bank balances. Prepare rolling cash flow forecasts, optimize working capital, and manage payments to suppliers and creditors, debtor aging reports, enforce credit control policies, and oversee the documentation and accounting treatment for doubtful debts and bad debt write-offs.
- Manage the company’s accounting software/ERP system (e.g., Odoo ERP). Ensure accurate data migration, system integrity, correct inventory valuation, and alignment between operational and financial records.
- Maintain the fixed asset register, track depreciation, and handle documentation for asset acquisitions and disposals (e.g., hire-purchase settlements, vehicle trade-ins).
- Reconcile inter-company balances across multiple corporate entities.
- Liaise directly with external auditors, tax agents, bankers, and company secretaries.
- Prepare audit schedules, ensure timely annual statutory filings, and coordinate tax computations (including CP204 and tax estimates).
- Execute end-to-end monthly payroll processing—including accurate calculations of basic salary, allowances, deductions, overtime, and unpaid leave. Ensure timely remittance of all statutory contributions (KWSP, SOCSO, EIS, PCB/LHDN, HRD Corp).
- Design, implement, and monitor structured performance evaluation frameworks. Help department heads establish Key Performance Indicators (KPIs), manage bi-annual or annual salary review cycles, and administer Performance Improvement Plans (PIPs) for underperforming staff.
- Oversee the Employee Benefits Scheme across different job grades (e.g., attendance allowances, travel claims, optical/medical benefits). Regularly benchmark benefit against market standards.
- Manage disciplinary procedures, grievances, and investigations. Draft formal administrative documentation, including warning letters, show-cause letters, termination notices, and acceptance of resignation letters, ensuring strict compliance with the Employment Act 1955.
- Handle the recruitment process for office and operational staff—from manpower planning and drafting job descriptions to interviewing, issuing employment contracts, and conducting employee onboarding.
Qualifications & Requirements
- Education: Bachelor’s Degree in Accounting, Finance, Human Resources, or a related professional qualification (e.g., ACCA, CPA).
- Experience: Minimum 5 to 7 years in a dual-function management role, with proven experience handling multi-entity corporate structures.
- Technical Proficiency: Extensive hands-on experience migrating to or managing accounts within Odoo ERP is highly preferred.
- Linguistic Skills: Excellent written and spoken proficiency in Mandarin, English & Malay to effectively draft formal documents, handle bilingual internal memos, and negotiate with diverse suppliers and stakeholders.
- Legal Knowledge: Deep understanding of current Malaysian labor laws, industrial relations, and accounting standards.
